Farm Operations and Delivery Coordinator
Willowsford Farm is a community-based farm in Ashburn and Aldie in Loudoun County, Virginia, and a part of Willowsford Conservancy. The Conservancy is a 501c3 nonprofit organization dedicated to protecting over 2,600 acres of open space and farmland while fostering a deeper connection between people, agriculture, and the natural world. We actively steward forests, grasslands, wetlands, and wildlife habitats through land management, while engaging the community through education, volunteerism, and hands-on conservation efforts. The Farm is an integral part of this work, serving as both a production space and living classroom where sustainable agriculture, food access, and community engagement come together to advance our mission.
The Farm raises certified organic vegetables and pastured laying hens for a Community Supported Agriculture program and consumer sales through our retail Farm Stand and Online Store. In addition to Willowsford Farm-grown products, the Farm sells organic and/or locally sourced products from carefully selected partners. The Farm Stand and farm-related programs and events provide opportunities for Farm staff, community members and customers to gather and connect.
Position Description
We are seeking someone who is organized, detail-oriented, a strong communicator, who works in a team setting to joins us as the Farm Operations and Delivery Coordinator. The Coordinator implements the promotion, marketing and sales functions of CSA and consumer operations, helps to develop new business opportunities, and assists with operations.
This includes but is not limited to operation of the Farm Stand and CSA distribution locations; marketing and distribution of CSA shares; procurement from partner vendors; and organizing retail efforts. Outreach and marketing through social media, online communications and the Farm website are critical components of the position.
The Operations and Delivery Coordinator reports to the Willowsford Conservancy Farm Director.
Responsibilities
Working in close partnership with the Farm Director:
Farm Operations
· Provide logistical and administrative support for CSA execution, including but not limited to all CSA member communications, troubleshooting for members, sales, generating availability lists and pick/pack information, collection on outstanding receivables, route planning for deliveries, off-site location management, and packing assistance
· Provide purchasing and inventory control of outside products for CSA and direct-to-consumer Online Farm Stand sales. Develop and maintain vendor relationships, negotiate agreements, and place orders
· Manage POS system and maintain sales records. Monitor sales; produce and analyze sales reports
· Assist Farm Director with training and managing CSA and market staff, maintaining excellent customer focus and service
· Develop and implement standard operating procedures, safety and loss prevention initiatives, ensuring compliance with government and company regulations for labor, health, safety and sanitation issues
- Maintain knowledge of current market trends, products, and regional partner opportunities
- Implement digital marketing plan
- Other duties as needed
Farm Production
· Assist with tasks related to field production of organically produced vegetables including seeding, transplant production, planting, cultivation, irrigation, harvesting, and post-harvest handling to meet production goals and assure high product quality
· Operate farm equipment and machinery in a safe and efficient manner
· Assist with daily poultry chores as needed, including coop maintenance, pasture management, egg collection, and general livestock oversight
Farmstand and Working with Volunteers
· Operate the Grange seasonal and/or Boathouse Farm Stand with possible open days being Thursday from 3-8 pm and/or Saturday from 8 am-2 pm. Discussion about scheduling will occur at time of interview/hire and this job description will be modified to reflect actual scheduling. Regular Farm Stand activities include sales, stocking, adhering to food safety plan, customer service, transporting produce, cleaning, and programming
· Provide volunteers with information, tools, training, and oversight as needed to ensure a positive volunteer experience
Work Environment, Physical Demands, and Evolving Job Duties
· This position includes work in all weather conditions and all times of the year, and requires heavy lifting of up to 50 pounds and physical exertion
· Weekend & extended hours are required
· The work week for this position will either be Tuesday-Saturday or Sunday-Thursday; seasonal adjustments to the work week and tasks during the non-growing season are expected

Work Location: In person
