Financial Services Contractor for Future Harvest

Future Harvest is a 27-year-old, farmer-based membership nonprofit, the mission of which is to advance agriculture that sustains the Chesapeake region’s farmers, communities, and environment. Future Harvest offers farmer education and training programs, including the Beginner Farmer Training Program and a Field School providing continuing education for farmers. The organization also conducts on-farm research, touts policy advocacy and runs special campaigns, including the Million Acre Challenge to advance regenerative agriculture in the region.
Future Harvest is seeking an individual or organization to provide contract financial services. We already work with an accountant and bookkeeper who close our books every month, but seek further support. This is a remote position. Please provide a bid for some or all of the duties described below. Bids should be emailed to Grace Leatherman at grace@futureharvest.org by October 1st. We are happy to answer questions.

Duties
Financial Management

Billing
o Ensure invoices go to bill.com and that staffers are sending appropriately, including viewing and approving invoices before sending
o Assign invoices as needed for approval by ED
o Review for classification and pay out all invoices

Monthly Expenses and Deposits
o Original credit card – assist accountants with classing
o New Divvy cards – encourage staff to enter receipt photos and class, approve classing for uploading to QB
o Record monthly deposits (mobile, grants) in deposit spreadsheet for accountants

Grants
o Develop systems to ensure efficiency of grant management
o Possess a thorough knowledge of the financial aspects of grants
o Invoice grantors using various platforms and maintain platforms as needed
o Coordinate invoicing with accountants in order to maintain grants payables
o Assist with grant financial reporting
o Field questions from grantors
o File all invoices under corresponding grant files, maintain grant files in conjunction with PD’s
o Assist with grant applications and submissions as needed, maintain financial and background materials as needed
o Assist PD’s with timely and accurate tracking and spenddown of grants
o Ensure compliance with grantor guidelines and regulations

Quickbooks
o Assist accountants with maintaining QuickBooks
o Pull reports for staffers as requested

Accountants
o Work with daily accountants
o Assist with reviews/audits with auditing accountants
o Assist with other filings, including 990, property tax return, 1099’s, etc.

Legal and Administrative
o Complete MD and VA charitable registrations in conjunction with ED
o Ensure correct and matching w9’s are provided by staffers and file in bill.com

Budgeting
o Assist ED in putting together annual budget

Staffers
o Assist with their needs and questions as pertain financial operations

Timesheets
o Remind staffers when they are due COB every other Monday
o Review each staffer’s timesheet for correct grant classification (eg all leave should be classed as unassigned)
o Review mileage and expenses and ensure they are classed to grants
o Submit timesheets biweekly
Evaluate current timesheet system

Human Resources
o Ensure employees complete hiring documents and that hiring documents are stored in employee folders
o Maintain relationship with payroll company, adding employees and grants as needed

Applicants will have extensive experience with nonprofit operations and with Quickbooks.
