Events Coordinator

Future Harvest (FH) is seeking a visionary and detail-oriented Events Coordinator. This individual reports to the executive director and works closely with the FH staff and board, our members, volunteers, and partners to organize and execute inspiring, educational, and community-building events, including our annual winter conference, development events, and educational events. The conference is held every year on Martin Luther King weekend in January and is a key component of FH’s education programming and regional networking. This job requires someone who has vision, creativity, self-direction, and pays great attention to detail. Applicants with diverse backgrounds, experiences, and perspectives are encouraged to apply.

Responsibilities:

  • Plan and execute annual conference and field educational programs (involves picking topics, recruiting speakers, ensuring event promotion and smooth logistics.).=
  • About 50% of this position involves conference planning, and about 50% is related to other programming
  • In partnership with Future Harvest staff, implement existing plans for the 2025 Future Harvest conference
  • Serve as liaison to attendees, exhibitors, sponsors and vendors
  • Maintain organized and multifaceted conference planning documents
  • Plan and execute on-farm field days
  • Conduct farm visits and other outreach activities to build relationships with regional farmers and partner organizations; work in collaboratives with external partners
  • Use FH tech platforms to create registration pages and conduct surveys and interviews
  • Advertise educational events via social media
  • Review, analyze, and report on progress toward goals, including grant reports, annual reports, and strategic planning
  • Maintain records relating to on-farm educational experiences
  • In cooperation with FH staff, plan for 2026 Future Harvest conference
  • Other duties as assigned

Suggested Qualifications

  • Deep experience in event planning, preferably conference planning
  • Demonstrated knowledge of the Chesapeake region farming community
  • Demonstrated superlative organizational and administrative skills
  • Demonstrated ability to use Google Suite to manage collaborative planning documents, Excel, Eventbrite and/or other event planning software, etc.
  • Demonstrated ability to lead and self direct
  • Demonstrated ability to engage a diverse range of presenters, exhibitors, and attendees
  • Demonstrated ability to work in a team, both internal and external, to create and strategically implement a vision for the annual conference
  • Willingness to travel and do some weekend work

Compensation: This is a full-time, remote position, with a starting salary of $54,000, plus 10% healthcare stipend, $45/mo. phone/internet reimbursement stipend, Simple IRA with 3% employer match, and generous PTO and holiday leave package.
